Use-case example

Challenge: A leading global biotechnology company faced growing complexity maintaining identical compute configurations across a multi-year instrument rollout. End of Life hardware OEM roadmap did not come at the right time. It never does! Engineering Change Order process would take a long time. Hardware revision and component shortages threatened validation consistency and were forecasted to delay field readiness.

DIGITALVAR Solution: DIGITALVAR put together a locked compute and image lifecycle program including purchasing and warehousing a 2,000-unit safety stock of validated compute systems. Each unit was guaranteed to be compliant with customer deployed instruments.

Outcome: Through a structured Vendor-Managed Inventory (VMI) model and IMAGE Guard framework service deliverables, DIGITALVAR reduced risk to customer’s projected sales revenue targets for the next three years. 1. What is a “purpose-built system” at DIGITALVAR?

A computing platform engineered for a specific scientific/medical instrument, validated and imaged under lifecycle control to ensure identical performance and traceability across multi‑year deployments.

2. What exactly is IMAGE Guard?

IMAGE Guard is our controlled imaging framework that enforces authorized OS images, records checksums, and links each unit’s configuration to QA records—preventing configuration drift between production, depot, and field.

3. What is DIGITALVAR’s geographic coverage?

DIGITALVAR is U.S.–based (Bay Area) and supports instrument OEMs across the United States, and export-capable fulfillment to select international destinations on request. We stage and ship from U.S. facilities, coordinate regional warranty/service with the compute OEM where applicable, and align service-level agreements (SLAs) and return-merchandise authorizations (RMAs) to local requirements. International deployments may require extended lead times and compliance with export, tax, and certification rules (e.g., FCC/CE/UKCA) provided by the platform OEM.

4. How do you keep images and BIOS settings consistent over time?

We use an ISO 9001 Quality Management System (QMS) with production controls that are aligned to ISO 13485 for risk and compliance management. Practically, this means version-controlled images, checksum verification, serialized imaging logs, and documented BIOS/firmware baselines reviewed by QA before release.

5. Why buy from DIGITALVAR versus buying direct from a tier-one hardware OEM?

Simple. Direct tier-one purchases provide hardware; DIGITALVAR provides just-in-time, BOM locked, validated, and supportable configuration with the logistics and documentation to keep your instrument program stable. Keep in mind that it’s not only about the brand of instrument compute you buy, but also who delivers it!

6. What onboarding steps are required before first production run?

We are flexible. We are happy to execute NDA/MSA and SOW; confirm BOM/lifecycle; provide Golden Image v1.0 and BIOS‑lock template; approve burn‑in/QC, ASN, staging, and reporting templates; finalize RMA/depot scope and SLAs.

7. Is DIGITALVAR an ODM (original design manufacturer)?

No. DIGITALVAR is not an ODM. We do not design or manufacture computer hardware or (yet) provide in-house custom chassis. We are a systems integrator and value-added distribution partner focused on offering scientific OEMs tier-one compute (e.g., Dell), imaging/QA controls, BOM control, lifecycle/change management, and deployment logistics that support your OEM instrument business.

8. Which deliverables do customers receive per batch?

Certificate of Conformity (CoC) which confirms that each batch shipped conforms to the approved specification — Material Specification. What it includes: Batch/lot ID; covered model(s); Purchase Order#, Invoice#, approved BOM revision; approved OS image ID (if required) and signatory name/title/date.

9. Does DIGITALVAR offer proactive life-cycle planning?

Yes. As part of onboarding each project, DIGITALVAR evaluates bill of materials (BOM) end-of-life (EOL) and agrees on a mitigation plan with the original equipment manufacturer (OEM). The plan can include DIGITALVAR stocking and warehousing to extend system availability beyond the announced EOL date. If a compute system approaches EOL, we manage the transition via controlled change: BOM revision, OS image and BIOS updates, and verification testing. Customers receive demo and first-article units before quality assurance (QA) sign-off. DIGITALVAR also provides warehousing logistics for multi-year deployments through inventory staging and consignment.

10. What is the DIGITALVAR Embedded-OEM Service Model? 

DIGITALVAR’s Embedded-OEM model is a turnkey integration program where we partner with the original equipment manufacturer (OEM) to specify, lock, validate, and supply the compute stack that ships with the instrument. We establish a controlled BOM, golden OS image, and BIOS profile, then verify performance on first-article units before release. The result is a stable, traceable compute platform delivered per batch with a Certificate of Conformity (CoC) and a serial-number/service-tag manifest.

11. How do you maintain compliance and documentation for audits?

Using ISO 9001:2015 (certified) and ISO 13485–aligned (not certified) procedures for controlled integration, imaging, testing, and verification, with device‑history‑equivalent records (imaging logs, test results, ECOs, QA sign‑offs) and long‑term retention.  Result: Less risk, better compliance!
